All data processing for eDocuPortal takes place on EU-hosted infrastructure (Frankfurt, Germany) in compliance with GDPR requirements.

2. What Data We Process

eDocuPortal is designed with privacy in mind. We process minimal data:

  • Invoice validation: Files you upload are processed temporarily in memory and on our servers for validation purposes only. Files are deleted immediately after validation is complete (typically within 30 seconds).
  • Server logs: We collect basic technical logs (IP address, timestamp, request type) for security and troubleshooting purposes. These logs are retained for 30 days.
  • Cookies: We do not use tracking cookies. Essential cookies may be used for session management if you use authenticated features in the future.

3. Legal Basis for Processing

We process your data based on:

  • Consent: By using our validation service, you consent to the temporary processing of your uploaded files.
  • Legitimate interest: Server logs are maintained for security and operational purposes (Art. 6(1)(f) GDPR).

4. Data Retention

  • Uploaded files: Deleted immediately after validation (within 30 seconds)
  • Server logs: Retained for 30 days
  • Validation reports: Not stored unless you explicitly save them to your archive (future feature requiring login)

  • Hosting providers: Our infrastructure is hosted on EU servers (Vercel, Fly.io) that comply with GDPR requirements.
